Frequently Asked Questions
Which browser should I use?
SecureDocs works in all modern browsers. As of September 2016 IE users will require at least IE version 9 or newer. For the best experience, we recommend using Google Chrome, as it supports all functionality that SecureDocs offers and is a fast browser. FireFox and Safari are fast, but do not support the drag and drop folder upload and require a Java plugin to upload folders. Internet Explorer tends to load large data rooms very slowly and doesn’t support the drag and drop document or drag and drop folder upload features and also requires a Java plugin.
What password do I use to login to SecureDocs?
For security purposes, SecureDocs will never issue or email you a password. The first time you log in you will be prompted to create a personal password. If you are using one email address to access multiple data rooms, your password will be the same for all of the data rooms, regardless of who invited you. We highly recommend that you choose a strong password.
How do I reset my password?
If you’ve forgotten your password, simply click on the ‘Forgot your password?’ link from the login page, enter the email address that is registered with SecureDocs, click the ‘Send Password Instructions’ button and then click on the ‘Change Your Password’ link in the email you receive. Always be sure to use the most recent reset password email that you have received or the link will not be valid. If you would like to change your current password, simply log in to SecureDocs with your current password, click on the ‘Change Password’ link from the menu in the top right of the screen under your name. Enter your new password, verify the new password, and then enter your current password. Click on the ‘Update’ button to complete the change.
Note: For security purposes, the SecureDocs support team is unable to access any customer accounts or change any passwords, so please follow the above instructions.
I accidentally deleted my SecureDocs invitation, how can I get another?
If you have never logged in to SecureDocs, you will need to contact your data room administrator (the person that invited you) in order to have another invitation sent. If you are an administrator and need to resend an invitation, open the ‘Users’ page and click on the ‘Reinvite User’ icon to the far right of the user’s name. If the user has already accepted their invitation and logged in, they can access their account by visiting www.securedocs.com and clicking on ‘Customer Login’ in the upper right hand corner of the page.
When I try to log into the data room I’m not receiving the SMS text code on my cell phone.
Make sure you have a strong cell phone signal and have access to the phone that you registered with SecureDocs. If you don’t receive a text code right away, wait a moment and try requesting another code.
I don’t have a cell phone to receive the SMS text code, how do I log in to SecureDocs?
You will have to contact your data room administrator (the person that invited you) to have this security feature disabled. As an administrator, this feature can be disabled by selecting a user from the ‘Users’ tab, deselecting the option to require two factor authentication, and clicking ‘Update.’ This change will take effect immediately.
How do I disable two-factor authentication for myself or my users?
In order to protect your data room from password-stealing malware, we strongly recommend that you require two-factor authentication for all of your users. Disabling this feature will reduce the security of your data room. If you still want to disable this feature, you can do so by selecting a user from the ‘Users’ tab, deselecting the option to require two-factor authentication, and clicking ‘Update.’ This change will take effect immediately.
Can I turn off the watermarks I see when I view, download and print my documents?
If you are a data room administrator, you can turn off watermarks by doing the following: click on the ‘Users’ tab, select the desired user role, deselect the watermark option, and then click ‘Save.’ On next login, watermarks will no longer be visible on documents. NOTE: Watermarks are added to PDF, Excel, Word and PowerPoint documents and are managed on the Role level rather than the User level, so changing the setting will apply to all Users in the given permission Role. If you are not a data room administrator, you will need to contact your administrator (the person that invited you) to request to have watermarks turned off.
What types of files does SecureDocs support?
You can upload any file type in to SecureDocs, as long as you comply with our terms of service. PDF, Excel, Word and PowerPoint documents can be viewed in the SecureDocs viewer. All other file types must be downloaded to be viewed.
How do I move a document or folder into another folder?
Select the folder/document that you want to move in the right panel of your data room and drag it into the desired folder in the folder tree in the left panel of your data room.
How do I print a document?
Any time a document is to be printed from a cloud based solution, it will need to be downloaded to your computer first. Not all programs make this clear, but for this reason, printing from SecureDocs is synonymous with downloading. You will need to download the document first, and then you will be able to print it from your computer. If you have limited access and are not able to download a document, you need to request this permission from your data room administrator (the person that invited you).
How do I set up notifications so that users are notified when specific events take place?
There are two types of notifications to be enabled:
- For administrators: you can have the daily audit log emailed to you each day by clicking on your own name from the list of users and enabling the 'Email daily audit log reports' option.
- For new document notifications: make sure a user is notified when new documents are uploaded to folders they have access to. SecureDocs will send an email once per hour, outlining the documents uploaded within that hour. If no documents are uploaded to a folder they have access to, then they will not receive an email. You can enable this when inviting a new user, or you can click on their name from the list of users and enable it once they've already been invited.
Can I change the format or wording that appears in the watermarks?
The watermarks cannot be edited, but they will include the word 'Confidential' and your company name, along with a particular user's name, email address and the date and time that user accesses the document. The watermarks will update automatically depending on the user accessing the document, to reflect their information.
